What to know before you choose

  • Choose the ownership mode and management platform before preparing phones.
  • Pilot a device for each work role with test accounts and sample data.
  • Name the person responsible for setup, staff support, replacements and licence renewal.

How do you set up Samsung Knox for a small business?

Start by choosing how the phones will be managed, then prepare enrolment, apps and policies with the person responsible for IT. Pilot a representative device before handing phones to the whole team. Buying Samsung handsets gives you supported built-in security; a consistent business deployment still needs configuration and an owner.

This checklist is a planning guide for a UK small business and its IT provider. The exact console steps depend on whether you choose Knox Manage, Intune or another supported platform. For the product basics, read our Samsung Knox guide.

1. Write a one-page device brief

List the number of phones, who owns them, the jobs they need to do and the applications staff will use. Include office and field locations, expected replacement dates and any shared-device arrangement. Decide whether personal use is allowed on company phones and explain that arrangement to employees.

Give each requirement a practical acceptance check. “Install the job scheduling app before handover” is easier to test than “make phones ready for work”. “Record and remove a leaver's work access” is more useful than assuming a security product handles the entire process automatically.

2. Choose the management route

If the business already has device management, ask IT what it supports before buying another platform. For a Microsoft setup, our Knox with Intune guide covers the roles of Samsung enrolment and policy tools.

If you are starting from scratch, compare the platform's everyday workflow and the cost of having somebody administer it. Use the Knox Suite plan comparison to identify the software scope. Keep deployment and support charges visible alongside the licence cost using our UK pricing checklist.

Choose around your requirements and administrator's capability. A service that nobody maintains will not deliver a reliable starter, update or leaver process.

3. Prepare accounts, licences and devices

Use business-controlled administration accounts with appropriate access and recovery arrangements. Record who can add devices, change policies and perform remote actions. Confirm the chosen licences, supported handset models and enrolment method with IT before ordering.

Ask the supplier whether it can register the devices into your chosen Samsung enrolment route and what information it needs from you. Make that a written part of the proposal. An existing handset may need a different preparation process from a new, registered device.

For Knox Manage, Samsung's device enrolment guidance distinguishes methods such as Samsung enrolment, QR code, token and a work-profile agent. Have IT follow the route for your ownership mode. Before any required reset, preserve needed data and confirm the device's recovery credentials and ownership.

4. Build a small pilot configuration

Ask IT to prepare a test group and apply the minimum settings needed for your work. Start with screen locking, required work apps, business sign-in, updates and the permitted work/personal arrangement. Set any additional restrictions only where they solve a documented requirement.

Use test accounts and sample data. Check that email, calendars, your main business app and any required camera or location functions work under the proposed policies. A restriction that prevents a field worker completing a job needs revisiting before the full rollout.

For shared phones, test the whole shift handover: who signs in, what work remains on the device, how it charges and who reports faults. If you need rugged hardware, include the accessories and working environment in your Samsung rugged-device assessment.

5. Worked example: a 12-phone rollout

Imagine a business issuing eight office phones and four phones to field staff. This is an illustrative plan, not a CTN customer case study or a promise of a particular deployment time.

Pilot one office phone and one field phone with the intended management platform. The office user tests email, calls, calendars and sign-in. The field user also tests the scheduling app, site photos and connectivity at a normal work location.

Pilot testEvidence to record before rollout
First-time setupBoth devices appear in the intended management group
Required appsEach role receives the right apps and can sign in
Policy changeA harmless test setting updates and its status is visible
User supportThe employee can reach the nominated support contact
Lost-phone exerciseIT demonstrates the agreed response using a test device
Leaver and replacementA test user can be removed and the phone prepared for reassignment

Record each result and the final settings. Fix failures before assigning the remaining phones. Once the pilot passes, roll out in a manageable batch and keep a record of which employee received which handset and number.

6. Give staff a clear handover

Provide a short instruction sheet covering first sign-in, the support contact, what the employer can manage, permitted personal use and how to report loss or damage. Explain any work-profile arrangement using the chosen platform's employee guidance rather than promising the same privacy behaviour for every mode.

Include a check that the employee can use the key apps and knows how to obtain help. Record handset allocation and account access in your normal asset register. Keep the process usable for the next starter, rather than relying on the person who organised the first rollout to remember every setting.

7. Maintain the fleet after setup

Agree a regular review of device status, app changes, support incidents and licence expiry. Test significant changes with a small group before wider assignment. Identify who keeps the record of replacement phones and makes sure their configuration matches the approved setup.

For a missing phone, combine the device response with the appropriate business-account actions. Remote commands depend on connectivity, enrolment and platform capabilities. For leavers, recover the handset where applicable, remove work access and follow the documented reassignment procedure. Do not assume deleting one console entry completes every task.

Put the rollout requirements in your quote request

Send your device brief to the supplier and IT provider: quantities by role, preferred handsets, work locations, ownership arrangement and management platform. Ask who handles registration, configuration, staff support and renewal. Compare the exact UK Enterprise Edition package if an included entitlement is part of the purchase.

Compare The Networks compares Samsung handsets and business networks. Request a Samsung business quote with your setup requirements; software supply, enrolment and ongoing administration need to be confirmed in the proposal. Business mobile contracts have a minimum 24-month term.

Frequently asked questions

Does a small business need an IT provider to set up Knox?

It needs somebody with responsibility and the skills to configure and maintain the chosen platform. That may be an internal administrator or an IT provider. Agree setup and ongoing support responsibilities before rollout.

How long does Samsung Knox setup take?

It depends on account readiness, device registration, the management platform, apps and required policies. Plan a pilot and staff handover before committing to a full rollout date.

Can we set up existing Samsung phones?

Ask IT to check device support and the intended ownership mode. Some corporate-owned enrolment routes require a reset; preserve needed data and confirm recovery credentials before agreeing that step.

Can Knox wipe a lost phone immediately?

Remote actions depend on the configured platform, enrolment and device connectivity. Establish a lost-phone response that also covers business-account access and replacement arrangements.
