MDM for Small Business: iPhone, Android & BYOD Guide

Last checked: 12 October 2026

Mobile device management (MDM) helps a small business administer enrolled work phones centrally. Start by deciding who owns each phone and what business data needs protecting. Company-owned phones, personal phones used for work and shared devices may need different approaches, even within the same team.

This guide helps you write a brief for a mixed iPhone and Android fleet. For Samsung-specific implementation, use our Knox setup guide and Knox with Intune guide.

MDM vs MAM: device control or app protection?

Microsoft's Intune overview distinguishes device management from mobile application management (MAM). MDM enrols devices for administration of settings and apps. MAM focuses on managed work apps and their data. The two can be combined; capabilities depend on platform and enrolment mode.

Intune app protection policies can protect supported work apps without device enrolment. Examples include an app PIN and restrictions on moving work data into personal apps. Check the supported apps and prerequisites; this does not mean every app on a personal phone becomes manageable.

Managing iPhones alongside Android phones

Apple's deployment guide explains that enrolment lets a management service deliver configuration profiles and commands. Company-owned devices can use Automated Device Enrolment and supervision during setup. Available controls differ by enrolment method and device state.

Do not assume a Samsung configuration can be copied to an iPhone. Give IT a short requirements list, then ask them to demonstrate the intended result on both platforms. Include the exact work apps, sign-in method and device models rather than choosing solely from a product name.

Write a brief before buying licences

  1. Record each phone's model, software version, owner and regular user.
  2. List the business apps and accounts it must access.
  3. Specify what happens when a phone is lost, replaced or returned by a leaver.
  4. Agree who administers the platform and answers staff support requests.
  5. Obtain a licence and service quote that separates software, setup and ongoing support.

If you already pay for a software suite, ask IT to check your actual entitlement and any extra licences required. Avoid purchasing overlapping management services until each has a defined role.

A worked example: eight company phones and four personal phones

Consider a 12-person business with eight company phones and four staff using their own devices. Inventory the eight company phones for device enrolment. For the personal phones, ask whether the work apps support app protection and what access conditions are needed.

Pilot one company phone and one personal phone with test accounts. Have the administrator show what information appears in the console, how work access is removed, and what happens to personal content. Document the outcome before asking the rest of the team to follow the process.

Explain the policy to staff

Give staff a plain-language explanation of what is managed, which information administrators can view and who to contact about a lost phone. Distinguish removal of work data from resetting an entire device. Agree any reset in advance and preserve necessary data and recovery credentials.

Remote actions depend on the configured service and device connectivity. Include business-account access and replacement arrangements in the lost-phone process rather than promising an immediate remote wipe.

Frequently asked questions

Is MDM only for large businesses?

A small team can still benefit from a consistent setup and leaver process. Start with the tasks you need IT to perform and compare the administration effort with the benefit.

Do personal phones need full device management?

Not always. Supported work apps may use app protection without device enrolment. Ask IT to check the apps, access requirements and staff privacy expectations.

Is Samsung Knox the same as a mixed-fleet MDM plan?

Our Knox guides cover Samsung tools and integrations. A mixed-fleet plan must also address iPhones, personal devices, licences and ongoing administration.

Does a business mobile tariff include MDM?

Check the written proposal. Handsets, airtime, management software and deployment support are separate items unless explicitly included.
