Understand the processing routes
Apple's iPhone privacy guide describes on-device processing and Private Cloud Compute for requests needing additional capacity. Apple says data sent to Private Cloud Compute is used for the request and is not stored or made accessible to Apple.
That is a description of Apple's processing architecture. It does not mean every action involving an AI app or external integration follows the same route. Identify the feature being used, the account involved and the information being entered before deciding what your business permits.
Avoid a blanket promise that everything called “AI on iPhone” remains on the handset. Review external services separately with the people responsible for company systems.
Start with a small set of working rules
Give staff examples they can apply to everyday tasks. A rule such as “use AI responsibly” is difficult to act on without explaining what information and outputs are allowed.
| Decision | A practical starting point for the business |
|---|---|
| Training material | Begin with fictional or approved non-sensitive examples |
| Customer information | State which workflows, if any, are authorised |
| External integrations | Name the services and account arrangements permitted |
| Customer-facing output | Identify who reviews facts and commitments before sending |
| Storage | Explain where approved drafts and source material belong |
| Mistakes | Provide a clear contact and reporting process |
These are suggested operating decisions. The organisation should adapt them to its own data, systems and responsibilities rather than treating a handset purchase as approval for every AI use.
Check management against the current software
Apple's WWDC26 deployment guidance explains that controls for Apple Intelligence, Siri and external intelligence are moving to declarative device management. It identifies the older related restrictions as deprecated from iOS 26.4 and describes newer configurations for supervised devices.
The practical action for an IT team is to check that its management platform supports the required controls on the software actually being deployed. Do not copy an old restriction checklist and assume it governs a newly updated fleet.
Ask the administrator to verify the intended settings for Writing Tools, application-specific capabilities, external integrations and Siri. Test both allowed and blocked behaviour with a representative device before extending the configuration to staff.
Keep personal settings and fleet controls distinct
A user-level switch is not the same as a centrally managed business policy. On an individually managed phone, Apple Intelligence settings are found under Settings → Apple Intelligence & Siri, where available. On a company phone, changes may be controlled by the administrator.
If the business wants a feature disabled across its fleet, agree the management approach and verify it on the device. Staff should not remove company management or change unrelated settings to work around a restriction.
Use our setup guide for an approved pilot, then record the settings used so the exercise can be repeated.
Review output as well as input
Data handling is only one part of the workflow. A summary can omit an exception, and rewritten wording can introduce a commitment the employee did not intend to make.
For customer messages, require a check of names, prices, dates and promises against the source. For internal summaries, preserve access to the original material and identify who confirms the action list. Train users to recognise when manual handling is more appropriate.
Include AI settings in a handset rollout
When buying iPhone 18 business phones, add the intended AI configuration to the deployment brief alongside apps and authentication. Use the bulk order guide to identify who is responsible for supplier assignment, enrolment and ongoing administration.
Run the same checks after an approved software update. A new feature may introduce another decision about access, processing or training even when the device itself has not changed.
Frequently asked questions
Does Apple Intelligence keep every request on the iPhone?
No. Apple describes both local processing and Private Cloud Compute. External integrations need their own review rather than being treated as the same service.
Can a company control Apple Intelligence features?
Apple documents management controls for supported supervised devices. The available configuration depends on software and management-platform support and should be tested.
Can employees turn Apple Intelligence off themselves?
The available settings depend on the device and company configuration. Ask the administrator how personal choices and centrally applied policy should work.
Does Apple's privacy design make every business use appropriate?
The business still needs to decide which information, tasks and external services it permits, and who checks the resulting work.
