Give every supplier the same fleet brief

A business ordering several iPhones needs a consistent schedule of requirements. Separate the device purchase from the decisions about airtime, deployment and support, then bring them together in a line-by-line quote.

Divide the order into useful groups

Group employees by work requirement rather than seniority alone. A content team may justify iPhone 18 Pro, selected mobile staff may prefer Pro Max, and a small document-heavy group could pilot Duo.

Do not assume every line needs a new handset. Include retained devices and any spare phones in the inventory so the supplier understands the whole account.

Separate September and October deliveries

Apple's Pro announcement and Duo announcement set different launch timetables. Ask the supplier to confirm allocation for each model and whether partial delivery is possible.

For example, a company could prepare its Pro users first and leave a Duo pilot until the later delivery is confirmed. The appropriate plan depends on actual stock and your renewal dates. Agree how substitutions, delays and separate shipments will be approved.

Nominate one person to reconcile delivered devices against the order. Record the model, storage and assigned user before distribution, and check that the handsets match any management assignment requested.

Agree who owns deployment

If your business uses Apple Business Manager and a device-management platform, involve the administrator before procurement. Apple's business guide provides the deployment reference; the supplier must confirm the device supply and assignment route available to you.

Ask who will enrol the devices, configure applications, resolve setup failures and provide ongoing support. Confirm whether the relevant management licences are already held by the business or included as separately priced services.

Run a small pilot with representative users. Test email, authentication, business apps, data access and the handover process. Resolve problems before repeating the steps across the full order.

Evaluate the total fleet commitment

Request an itemised quotation with the device and service quantities, upfront costs, recurring charges, VAT basis, agreement duration and scheduled changes. Separate accessories, management, insurance or repair services so each can be assessed.

Check whether discounts depend on a minimum number of active lines or a particular combination of services. Ask what happens when staff join or leave, a phone needs replacement or an additional line is added later. Do not assume those changes follow the same term or price as the original order.
