iPhone 18 Business Upgrade Guide | Plan Your Switch

A successful business iPhone upgrade needs the old agreement, new devices and staff setup to line up. Use this sequence to plan a controlled changeover.

Updated 10 September 2026. Supplier stock, delivery and business tariffs are checked with your quote. Contracts are a minimum of 24 months.

1. Record the agreements you already have

Before ordering an iPhone 18 business upgrade, list the current numbers, account holder, supplying company and agreement dates. Record any separate device arrangement and optional services billed alongside airtime.

Ask the current supplier to confirm the effect of the proposed change in writing. A handset upgrade, an airtime renewal and a move to another supplier can involve different steps. Make sure the quotation reflects the action you actually intend.

Keep this information in a simple register. For a team, appoint one coordinator so employees are not arranging conflicting changes to individual numbers.

2. Decide who needs which phone

Use the iPhone 18 Pro, Pro Max and Duo comparison to shortlist by role. A useful starting point is the job the existing phone no longer handles satisfactorily.

Record model, storage, accessories and the proposed user. Include staff who can retain a suitable device. For a folding-phone trial, identify the task to test and the fallback device if the application experience does not meet the requirement.

3. Align delivery with the working calendar

Apple's Pro launch and Duo launch have different availability dates. Use the release timetable for planning, then ask your supplier for the actual order allocation and delivery estimate.

Leave time for receipt, checks and setup. Avoid using an anticipated stock date as the basis for retiring the old equipment. If the supplier proposes partial deliveries, agree how those groups will be handled before the order proceeds.

4. Prepare applications and access

Ask the IT administrator to confirm the company's deployment method, managed applications and authentication requirements. Where Apple Business Manager is used, check the assignment route with the supplier against Apple's deployment guidance.

Build a handover checklist covering:

  • access to company email, calendars and contacts;
  • password manager and authentication setup;
  • business applications, certificates and any VPN;
  • approved backup and company data-transfer method;
  • SIM or eSIM activation instructions for the exact device and account;
  • lost-device and support contact details.

A personal backup alone may not recreate a managed working phone. Test the process with a representative user and the actual company configuration.

5. Agree number retention or transfer

Tell the supplier which numbers the business needs to keep and who is authorised to request changes. Ask for the appropriate process for the current account and proposed arrangement.

Confirm dates and responsibilities with the suppliers involved. Decide who will verify incoming calls, outgoing calls, messages and mobile data once the change completes. If a business-critical number is involved, plan an alternative contact route during the handover.

6. Check the first group before expanding

Start with a manageable group where practical. Ask each user to complete a normal task, including an essential app login and a call away from office Wi-Fi. Record any failure and who owns the fix.

Retire or reassign the old handset only after the business has confirmed the replacement is ready and followed its data-handling process.

Frequently asked questions

Should I switch every employee on the same day?

Only if the business can support that handover and the supplier confirms the plan. A staged approach can make problems easier to resolve before they affect everyone.

Can the new supplier clear an existing handset agreement?

Do not assume any existing cost is covered. Obtain the current supplier's written position and identify any specifically agreed contribution in the new quotation.

Can a quote request reserve launch stock?

No reservation should be assumed. Ask the supplier to confirm order acceptance, exact configuration and delivery status.

What if Duo arrives later than the Pro phones?

Plan a separate group and handover date. Keep suitable devices in service until the later order is delivered, configured and ready.
