This guide covers everything from choosing between BYOD and company phones to configuring security, data allowances and expense management.
Step 1: BYOD vs Company-Owned Phone
The first decision is whether employees use their own device (BYOD) or receive a company-provided phone. Both approaches work — but the implications for security, cost and management are very different.

Step 2: Security Requirements
Remote workers access company systems from home networks, coffee shops, co-working spaces and trains. Every connection is a potential vulnerability. Here’s your security checklist:
- Device encryption — enabled by default on modern iPhones and Android 10+. Verify it’s active
- Screen lock — enforce 6-digit PIN minimum plus biometric unlock
- Remote wipe — essential for lost or stolen devices. Configure via MDM or Find My iPhone/Device
- Automatic updates — enforce OS and app updates. Security patches must not be deferred
- Two-factor authentication — mandatory on email, cloud storage, CRM and financial systems
- App restrictions — block installation of apps from unknown sources on work profiles
- Encrypted messaging — use Teams, Signal or WhatsApp Business for sensitive communications

Step 3: Mobile Device Management (MDM)
MDM software is non-negotiable for teams of 5 or more. It lets you enforce policies, deploy apps, configure email and VPN settings, and wipe devices remotely — all from a central dashboard.

Step 4: VPN Configuration
A business VPN encrypts all traffic between the remote worker’s phone and your company network. This is critical when staff connect from public Wi-Fi or home networks that may be shared with family members.
Most MDM platforms can push VPN configuration automatically. Employees don’t need to do anything — the VPN activates whenever they access work apps.
Step 5: Wi-Fi Calling & Connectivity
Remote workers in rural areas or buildings with poor mobile signal need Wi-Fi Calling enabled. This routes calls and texts over any Wi-Fi network, ensuring they stay connected even with zero mobile signal.

Step 6: Data Allowance Recommendations
Remote workers use more mobile data than office-based staff, especially when home broadband drops out or they work from cafes and co-working spaces.

Step 7: Hotspot Usage Policies
Many remote workers use their business phone as a mobile hotspot when broadband fails or when working from temporary locations. Set clear policies on:
- Whether hotspot usage is permitted on their plan (check your contract — some business plans cap hotspot data)
- Maximum connected devices (usually 5–10)
- Acceptable use — business use only, no streaming personal video
- Backup connectivity — consider a dedicated 5G hotspot device for staff who depend on mobile data daily
Step 8: Expense Management
If employees use personal phones (BYOD), you need a clear expense policy:
- Fixed monthly stipend — simplest approach. Pay competitive rates to cover business use. No receipts needed
- Proportional reimbursement — employee submits bill, you reimburse the business percentage. More accurate but admin-heavy
- Company SIM in personal phone — provide a business SIM (or eSIM) for work use. Clean separation, no expense claims
For company-owned phones, the contract is a straightforward business expense. One phone per employee is a tax-free benefit if provided mainly for business use.
