UK independent retailers — convenience stores, newsagents, independent fashion and gift shops, hardware stores, post office branches, independent off-licences — often have more PSTN-dependent services than appears at first glance. Shop phone, intruder alarm, fire alarm, payment terminals, lottery/scratchcard machines, cash collection alerts. All need attention before 31 January 2027.
What typically needs migrating
Shop phone line
Reception / main shop number. Usually one or two PSTN lines. Replace with cloud VoIP — typically £15-25/month for a small shop. Works on a desk phone or softphone app.
Intruder alarm
Dial-up PSTN signalling from alarm panel to monitoring company. Migrate to IP-based signalling via your alarm provider. Cost similar or slightly cheaper than existing PSTN monitoring.
Fire alarm (if monitored)
Smaller shops usually don't have monitored fire alarms (just local sounders). Larger independents with stockrooms may. If you have fire alarm monitoring via PSTN, migrate with your fire alarm company.
Payment terminals
Most modern Chip & PIN terminals are IP or 4G. Any still on dial-up PSTN need replacement. Contact your card provider (Worldpay, Elavon, Tyl by NatWest, Barclaycard). Most are IP-based already; if yours isn't, ask for replacement.

Cash machine / ATM (if on premises)
ATMs generally have their own communications arrangements (mobile, IP). The ATM operator (Cardtronics, NoteMachine, local bank) handles this — confirm with them.
Cash collection alerts
Some cash-handling safes and secure cabinets use dial-up callbacks to security companies to report openings or tamper. Check with your cash-in-transit provider.

If you're a small independent (1 location, under 5 staff)
Quickest migration path:
- Shop phone → simple VoIP service with one handset, £15-25/month, installed in 1-2 weeks
- Alarm → one phone call to your alarm monitoring company, they schedule IP signalling upgrade
- Payment terminal → if not already IP, one phone call to card provider for replacement
- Lottery / PayPoint → verify with terminal provider
Total effort: 2-4 hours of phone calls, maybe a site visit for alarm upgrade. Costs often lower monthly than existing PSTN setup.
If you're a multi-site retail group (5-50 shops)
More complex. Consider:
- Central coordination — single project plan across all sites
- Consolidated supplier — moving all phones/alarms to one VoIP provider simpler than site-by-site
- Phased rollout — migrate a few shops, resolve issues, scale
- Staff training — new phone systems need brief induction
- Avoid peak trading — don't migrate in December

Hidden PSTN dependencies retailers miss
Intercom / door entry
Some older staff-only door intercoms dial out on PSTN for identification. Check with building owner if in a shared property.
Refrigeration monitoring (food retail)
Some older chilled/frozen display monitoring systems use dial-out on PSTN to alert on temperature failures. Critical for food safety. Check with refrigeration maintenance.
Fuel station dispensers (forecourt retail)
Fuel pumps communicate to till systems via various methods; some legacy installations have PSTN elements. Fuel retail systems providers (Suresite, Fairbanks, Gilbarco Veeder-Root) handle these migrations.
Air conditioning / HVAC
Some commercial A/C systems alert on failure via dial-out. Check with maintenance provider.
